Artificial intelligence is changing our working world forever. How and with what impact? This process needs to be shaped today and this is not witchcraft, but craftsmanship. 01 Introducing AI systems sustainably
The use of AI technologies is still in its infancy in most companies. The opportunities and limitations of artificial intelligence in the working environment still need to be analyzed and design options identified. After all, the new tools should contribute to both economic success and better working conditions for employees.
Practice shows: When AI technology and company organization meet, getting to know each other must be carefully thought through and managed. After all, it is the employees who decide whether to reject or accept the solution. Productive collaboration is only possible if employees can understand the respective strengths of humans and machines.
Since the arrival of ChatGPT, artificial intelligence has also attracted a great deal of public attention. Opportunities and risks are widely discussed in society, albeit in many places with little expertise and a lot of hype.
We want our work to contribute to clarification and constructive solutions. The use of artificial intelligence can be compared to the use of fire. Fire is a versatile tool that is powerful in every respect and can do both good and harm: fire can be used to prepare a meal, start a forest fire or wage war. It is the people who use the tool that make the difference.
Compared to artificial intelligence, however, we have been able to gain experience with fire for thousands of years. On the one hand, this has resulted in a "feeling" for dealing with it, which we first have to acquire. On the other hand, we have developed an entire eco-system around it, which includes regulations (fire safety regulations), institutions (fire department) and safety precautions (smoke alarms and fire extinguishers), right down to children's songs and stories. Everything to exploit the opportunities of fire and minimize its risks for us. We have yet to develop one for KI.
This applies both to society as a whole and to the introduction of an AI solution in companies. If you want to use AI, you need a "cultural" framework. This provides answers to questions such as: "How should AI be used for us in the future? How do we shape the introduction and how do we live with it? What do the changes brought about by AI mean for me?"
The answers are specific to each organization. Every business model and every corporate culture requires its own approach to how those involved can prepare for this new future.

02 Our AI transformation framework
Our tried-and-tested framework, which was specially designed for AI transformation projects, consists of five phases:
- Problem definition and brainstorming: Every AI implementation begins with the identification of the core problem and the creative brainstorming focused on it. The aim is to understand the exact needs and challenges of your company. On this basis, we develop suitable ideas for a customized AI solution.
- Planning the solution: Once the problem has been clearly defined, a detailed plan is drawn up. This includes the technical requirements, the schedule and the resources needed to develop the AI solution.
- Developing the AI solution: now theory becomes practice. Our experts use the latest AI technologies and methods to help you develop an innovative solution tailored to your needs.
- Rollout in the technical and social process: Implementation is a crucial step. On the one hand, the aim is to integrate the AI solution seamlessly into your existing technical systems. On the other hand, organizational, legal, strategic and change aspects need to be taken into account in order to promote acceptance and efficient use within the company.
- Monitoring during active operation: The tasks do not end after the rollout. The performance of the AI solution must be continuously monitored during operation to ensure that it functions optimally and is adaptable.

04 Firefighting Use Cases
"Not with me!" - Employees refuse to cooperate in the AI transformation.
AI helps your employees to do their work faster, easier and better. That sounds fantastic in theory, but your employees are still not euphoric. Quite the opposite.
The fact that change is met with resistance is quite typical in AI transformations and is usually easy to understand: employees feel insecure about their future role, are afraid of data misuse or feel a lack of appreciation for what they have achieved so far. Each individual resistance causes even more sand in the gears. In the worst-case scenario, affected employees are unaware of the new AI system and are suddenly completely surprised. Then the rumors in the coffee kitchen quickly take on a life of their own and a shitstorm brews.
With our AI change approach, we inform the target groups affected by the change at an early stage, promote active dialog and involve employees in shaping the solution.
"Not with me!" - The works council stands up for itself.
All the technical aspects for implementing the AI tools have been clarified. But suddenly the works council gets involved and expresses massive concerns: what impact will the new technology have on employees?
The introduction of AI raises questions about job security, data protection and transparency, which inevitably involve the works council. Early and close cooperation with the works council is therefore a success factor. If this is missed, it is important to make up for it.

"The AI doesn't perform any miracles!" - The performance is disappointing.
The mountain has been climbed and the AI tool has been developed. Now performance should actually be on the rise. But that doesn't seem to be happening.
Unclear expectation management of what the new technology can and cannot do can easily lead to disappointment. Here, too, there are numerous possible reasons: poor training data quality, inadequate parameter definition, decoupled development of the tool from the rest of the organization, to name just a few.
Part of our AI change approach is to establish a guiding coalition for the transformation from within your company. Together with this guiding coalition, we describe the areas in which change is absolutely necessary. We define clear goals for the introduction of AI tools and ensure that everyone involved is aware of these transformation goals.
AI discriminates and exacerbates existing problems.
The AI-supported system was introduced and the hype is great, but after the first few days of use, completely unexpected consequences become apparent: Work results that discriminate on the basis of gender, origin or zip code, output that does not solve existing problems but increases them at an enormous rate.
Any AI is only as good as its database. The task here is to evaluate where the undesirable results originate. How well was the training data checked and cleansed? What inherent biases are there? Can your system be retrained or should the learning process be restarted?
A key part of our AI change approach is consulting on the human-oriented development and use of AI systems. With our agile approach and regular maturity assessments, we identify potential weaknesses at an early stage. In this way, we ensure that the results of the transformation match the jointly defined goals.
